You do not need technical answers before arranging a survey. This checklist simply helps the installer understand how the premises operates, where equipment could go and whether other trades need to be involved.

1. Rooms and daily use

  • List every room or zone that needs cooling, heating or both.
  • Note normal opening hours and whether the space is used evenings or weekends.
  • Record typical occupancy and the busiest number of people expected.
  • Identify rooms with changing uses, such as meeting rooms or treatment spaces.

2. Heat inside the building

  • Note computers, servers, display lighting, machinery, cooking appliances or other heat-producing equipment.
  • Identify large windows, roof lights and strongly sun-facing rooms.
  • Mention doors that are regularly open to customers or deliveries.
  • Flag any room that already feels much hotter or colder than the rest of the premises.

3. Indoor and outdoor positions

  • Consider where indoor units can distribute air without blowing directly onto desks, treatment couches or customers.
  • Identify sensible outdoor-unit positions with safe access for future servicing.
  • Check whether the property is leased, listed or subject to landlord or management-company approval.
  • Note nearby neighbours or quiet areas where equipment noise needs particular care.

4. Pipework, drainage and power

  • Look for practical routes between each indoor unit and the outdoor equipment.
  • Identify where condensate water can drain safely; gravity drainage is preferable where possible.
  • Tell the installer where the electrical distribution board is located.
  • Confirm whether your electrician, landlord or main contractor will provide the electrical supply.

5. Programme and access

  • Share any opening date, refurbishment programme or period when disruption must be avoided.
  • Explain restrictions on ladders, parking, deliveries, roof access or noisy work.
  • Confirm who can approve positions and variations while work is underway.
  • Ask for commissioning records, operating instructions and the maintenance requirements that protect the warranty.
Important: Refrigeration work must be completed by appropriately qualified personnel working for an F-Gas certified company. You can verify a business using the REFCOM company register. Climetech Ltd is REFCOM certified, company reference REF1013924.
